Training: library, assignments, records

How the Training tab works end to end — the catalog and your custom trainings, assigning and reminding, what each status means, certificates, exports and renewals.

Documents → Training Records is where required training lives: the library of trainings at the top, the employee-by-training dashboard below. Two kinds of rows appear in the library: catalog trainings SafeShift ships (built-in quizzes and the California safety modules — they appear only where they apply) and custom trainings you add with + New Training (a link to an outside course, an in-app acknowledgement, or a document the employee uploads).

  1. 1

    Three training types

External link — the employee opens a site you link (a state course, a vendor), then uploads their certificate; you verify it on the dashboard. In-app quiz — the employee answers inside SafeShift; catalog quizzes also link the official material, score on the server, and issue a SafeShift certificate after an e-signature. Document upload — the employee uploads a document (an outside certificate, a card) and that counts as completion.

  2. 2

    Assign and remind

Nothing shows on an employee's list until it is assigned. Assign on a library row opens the Manage Assignment modal: filter by role, pick people (catalog modules pre-select everyone the module applies to), set an optional due date. Remind (n) pushes everyone who has not finished. ✕ Revoke on a person withdraws the assignment without deleting anything — their attempts and certificates stay on file and come back if you assign again.

  3. 3

    What the statuses mean

Not started — assigned, untouched. In progress — started; for a catalog quiz this includes *passed, signature pending* (the quiz is passed but the certificate is not issued until the employee signs). Complete — finished without a certificate requirement. Certificate ✓ — a certificate is on file: uploaded by the employee (you verify it with ✓ / ✗) or issued by SafeShift after a quiz and signature (no verification needed). Renewal due — the record expired; Expiring — within 30 days.

  4. 4

    Renewals and reminders

A training with *Renews every N months* expires that long after the pass. Employees get push and inbox notices at 30 days, 7 days and on the day for catalog modules, and see Renewal due on their card; they retake and re-sign on the same record, and every certificate ever issued stays in 🕘 History. Catalog modules marked *Retrains on job change* come due immediately when you change someone's title on the Team page.

  5. 5

    Exports and the paper trail

⬇ CSV on a library row exports one line per employee record — status, score, attempts, completion date, signature, language, next refresher — in your timezone. Certificates download from the dashboard cell. Records are never deleted: revoking hides an assignment, re-assigning restores it, and quiz attempts are logged with their answers.

Good to know

  • Employees do everything in the mobile app or the web portal, in their preferred language — the quiz, the sign step and the certificate are bilingual for catalog modules.
  • Catalog rows can't be edited (their content is SafeShift's and reviewed), but you choose who is assigned and when; your custom trainings are fully editable.
  • A location-scoped manager sees and exports only their locations.
