Adding bonuses, commissions and corrections to a pay period

Add a bonus, commission, retro pay or a wage correction to a pay period, and know when it changes overtime pay.

On Pay & Tips โ†’ Payroll, the Other earnings card is where pay that doesn't come from punches goes โ€” bonuses, commissions, retro pay, and corrections. One row per earning: who, what, how much, and the date it was earned. SafeShift takes care of the overtime math.

  1. 1

    Add the earning

Click + Add earning, pick the employee and the type, enter the amount and the earned date (any date inside the period โ€” it decides which workweek the earning belongs to), and save. People with no hours in the period can still receive one; saving adds them to the run with just that earning. The preview reprices right away.

  2. 2

Say whether a bonus counts toward overtime

Under Bonus you choose between Earned or promised and Discretionary gift. A bonus the employee could expect โ€” for hitting a target, attendance, production, a signing or retention bonus โ€” is earned: federal and California rules fold it into that week's regular rate, so overtime, double time and break premiums are repriced on top of it. A true surprise the employee had no claim to (a holiday gift decided after the fact) is discretionary and is paid as-is. Commissions always count toward overtime.

  3. 3

Bonuses that cover more than one pay period

If an earned bonus covers a month, a quarter or a year, tick This bonus covers more than this pay period and set the bonus period. SafeShift computes the California overtime true-up on that bonus from the records of every week in the period (standard method: fixed amount, period allocation), saves the calculation as evidence, and queues bonus + true-up as retro pay in this check. For percentage bonuses, production formulas, strict workweek allocation or hand overrides, follow the Bonus True-Up tool link โ€” it opens with this employee and amount already filled in.

  4. 4

    Corrections

Correction has two directions. Add missed wages puts a straight-pay line on this check. Recover an overpayment deducts from it โ€” California requires the employee's written authorization (Labor Code ยงยง221/224), so you confirm it exists and write the reason; the run refuses any recovery that would take pay below minimum wage. Keep the signed agreement in the employee's Documents.

  5. 5

    Undo an entry

Earnings are never deleted. Void an entry with a reason and it stays on record, greyed out, behind Show voided. Add the right one afterwards. On an approved, locked period, an earning you add or void now pays or reverses on the next run as a prior-period correction โ€” the locked run never changes.

Good to know

  • On a draft run, the Period total at the bottom of the card normally matches the Bonuses/other tile at the top of the page. They differ when an earning could not land in the run โ€” an employee with no pay rate on file, or a recovery the minimum-wage floor blocked; the notes on the period say which. On an approved run the tile stays locked โ€” earnings added afterwards pay on the next run.
  • Rows marked affects OT raised a workweek's regular rate โ€” open the employee's drill-down to see the repriced overtime and premiums.
  • Sick pay is priced on its own 90-day average and is never part of a bonus true-up.
