Employees can ask for a punch correction — you approve or deny

An employee asks to fix one of their own punches from their portal; a manager approves (which applies the correction) or denies with a reason. Every request and decision is kept on record.

Employees see every punch for the pay period on their home screen and under Time entries. When one is wrong — a missed clock-out, a lunch the tablet never recorded, a clock-in that stuck — they tap Request a change, say what should be different, and explain what happened. The request lands on Compliance → Punch requests for a manager to decide. Nothing changes until a manager approves.

  1. 1

What an employee can ask for

A different clock-in or clock-out time, a meal or rest break that was taken but not recorded, a logged break whose times are wrong, or a free-text ask. Only their own finished punches from the last 30 days qualify; older punches are payroll's to handle. One request per shift can be waiting at a time, and the employee can withdraw it while it is pending.

  2. 2

    Review the request

Each card shows the employee, the day, what was punched against what they are asking for, and their explanation. A note tells you when the day sits inside an already-approved payroll run — approving still works; the correction lands as a prior-period adjustment on the next run.

  3. 3

Approve — the correction is applied for you

Approve & apply opens the proposal already filled in. Adjust the times if what you can verify differs from what was asked, add an optional note, and apply. SafeShift writes the same audited time correction (or break entry) a manual fix would, with the employee's request as the reason, re-evaluates breaks for the shift, and tells the employee their hours are updated.

  4. 4

Deny — with a reason the employee sees

A denial needs a short reason; the employee gets it word for word in their inbox and by push. Decided requests stay on the list under Decided with the note and whether the employee was told; if a notice did not go out, send it from the card.

  5. 5

    Fixing the shift another way

If you correct the shift directly on the Clock Station or the time card while a request is waiting, the request closes automatically as *corrected by your manager* and the employee is told. Voiding the shift closes it the same way.

Good to know

  • Shift Leads can decide punch requests for their location — the same people who correct punches at the Clock Station.
  • The bell counts requests waiting for a decision at the locations you manage; the count matches the Waiting list on the tab.
  • Requests are never deleted. A denied request with its reason is part of the pay record, the same as a correction.
