Schedule templates

Save a built week as a template and apply it to any future week — shared with every manager at the location.

A template is a snapshot of one week's saved shifts — who works which day, at what times, in what role. It belongs to the location, not to your browser: every manager sees the same list on any device, and applying one builds the week on the server with the same safeguards as copying a week.

    Save a week

    Build the week and save its shifts, then open ⋯ → Save as Template and name it ("Standard week", "Summer Saturdays"). Unsaved rows on the grid aren't part of the snapshot — save them first.

    Apply it to a future week

    Navigate to the week you're planning, open ⋯ → Use Template, and pick one. Shifts that would collide with ones already there are skipped, days already in the past are skipped, and anyone who has since left or moved off the location is left out and named in the result. Tick Replace this week's unstarted shifts first to start from a clean grid instead of adding.

    Published weeks and reminders

    Applying to a published week records the additions as unpublished changes, exactly like editing the grid — publish again to notify the team. Break reminders arm for every shift the template creates.

    Rename, update or remove a template

    Open ⋯ → Templates. Each template has three actions under its Apply button: Rename; Update from this week, which replaces the template's shifts with the saved shifts of the week you're viewing (so you can tweak a week on the grid and push the result back into the template — it must be a week at the same location); and Remove. Removed templates are never deleted: they wait under Removed templates at the bottom of the same window, and Restore brings one back. Every edit records who made it and when.

Good to know

  • Removing a template hides it for everyone at the location and parks it under Removed templates, where any manager can restore it; weeks already built from it are untouched.
  • To change a template's shifts: apply it to a week, adjust that week on the grid and save, then Update from this week on the template. A template is a stencil, not a link — weeks already built from it never change.
  • Templates saved in your browser before this feature were moved to your account automatically the first time you opened the Schedule page — they now appear for every manager.
  • Copy Schedule does the same job for a one-off — it copies a specific week; a template is the reusable version.
